Client Overview

A US-based enterprise HVAC group with 23 subsidiaries wanted to modernize field operations across its commercial and industrial service businesses.

The initial rollout focused on one of its largest subsidiaries serving the Texas market. Their field teams run project-based work across installations, inspections, service visits, and maintenance, often managing multiple job sites simultaneously. The broader goal was to create a scalable digital foundation that could support this first business unit and later extend across the wider subsidiary network.

Challenges

The HVAC field workflows were slowed by manual capture, delayed updates, and fragmented records across touchpoints.

Lack of mobile-first field operations platform

Technicians lacked a mobile-first way to capture field updates directly from the jobsite, especially in low-connectivity environments. Updates were often deferred until later.

Manual entry slowed billing & reporting

Manual field entries and follow-ups increased errors, delayed approvals, and created inconsistent documentation across projects. Approvals slowed as teams reconciled missing details.

Limited visibility across field and office teams

Supervisors and admins lacked a centralized view of project data, timecards, expenses, and field updates. This slowed issue resolution, billing handoffs, and operational decision-making.

Solution

Simform developed an Azure-powered field platform that digitized jobsite work and automated high-effort administrative tasks with specialized AI agents.

Mobile-first field app and admin portal

Built a React Native app for technicians to capture timecards, notes, images, receipts, punch-list inputs, and reports from the jobsite, with auto-sync after reconnection. A React web portal let supervisors review submissions, approve records, and track field activity from one dashboard.

Multi-agent AI orchestration on Azure AI Foundry

Orchestrated an Azure AI Foundry layer to route technician inputs of voice notes, images, receipts, LiDAR scans, and project data to the right specialist agent based on task intent. This kept field capture simple for technicians while distributing work across purpose-built agents.

AI-assisted documentation and measurement

Used Field Assistance and LiDAR workflows to capture site context, scan rooms, record measurements, and generate 3D/CAD-ready outputs. Punch List and Report Generation workflows converted audio, transcripts, images, and notes into structured action items and editable reports.

Timecard and expense agents with project integration

Enabled geofencing-based time tracking and LLM-based OCR scanning through the Expense Processing Agent. Integrated Procore to connect field activity with project records. Microsoft SSO, role-based access, AI guardrails, and workflow observability supported secure, traceable scale.
